What is Backlog.cloud?

Backlog.cloud is an AI summarizer tool that turns meeting talk into Jira-ready stories, bugs and decisions. Meeting bot and artefact generator for agile teams: it joins Zoom, Teams or Meet calls, applies ceremony-specific extraction rules, and outputs sourced user stories, bugs, decisions, RAID entries and process models directly into Jira, Azure DevOps, Linear, GitHub, Notion or ClickUp.

Backlog.cloud is a meeting intelligence tool aimed at delivery teams, not at general note taking. It joins a Zoom, Google Meet or Microsoft Teams call through a paste-link bot and produces structured work items rather than a transcript summary: user stories with acceptance criteria, bugs, tasks, epics, spikes, requirements, a RAID log, decisions, actions, minutes and BPMN process models. Output is pushed into Jira, Azure DevOps, Linear, GitHub Issues, Notion or ClickUp with field mapping and correctly formatted descriptions, and can also be exported as multi-sheet XLSX, per-platform CSV archives, Word documents or .bpmn files. The distinguishing idea is ceremony awareness. Before the bot joins, the user picks from 26 meeting types (standup, planning, refinement, retro, post-mortem, bug triage, PI planning, 1:1 and others), each with its own extraction rules. A retro yields themes and improvement actions, while a post-mortem yields decisions, RAID entries and a timeline. A pre-meeting one-pager shows the agenda, time-box, carried-over action items and what the bot will and will not capture. During the call a sidebar ticks off agenda steps and flags drift, such as no blockers raised by minute eight or a retrospective with no improvement named. Grounding is handled per artefact: every item carries a source quote from the transcript and a confidence rating, and a second verifier pass discards items whose quote does not appear in the transcript. Anything rated low is flagged for review before it is pushed. Meetings are contractually excluded from AI training, and the vendor describes TLS in transit, AES-256 at rest and SOC 2 Type 2 infrastructure. Backlog.cloud fits teams already committed to an agile backlog tool and willing to pay per seat for automation around it. Buyers who just want a searchable meeting archive will find it heavy, and the ceremony picker only pays off if the team genuinely runs those formats.

How do you use Backlog.cloud?

  1. 1Create an account and pick a plan
Sign up with no card for the Free tier, or start the 14-day Pro trial if you need room for real backlogs. Pro and Team both unlock higher generation caps once the trial converts.

  2. 2Choose the ceremony before the bot joins
Select the closest match from the 26 ceremony types in the picker, or set a project default so calendar auto-join can infer it. Extraction rules, coaching signals and gating all key off this choice.

  3. 3Review the pre-meeting one-pager
A cheat sheet appears when the bot is scheduled: time-box, agenda, open actions carried over, RAID flags and the capture scope. It is frozen to the meeting so the snapshot stays available afterwards.
  4. 4Dispatch the bot with a paste-link
Paste the Zoom, Meet or Teams link to send the bot into the call. The live transcript streams into the dashboard while the sidebar tracks agenda coverage.
  5. 5Triage artefacts with confidence ratings
Open the generated stories, bugs, tasks and decisions. Check the source quote behind each card and review anything rated low before it reaches your backlog.
  6. 6Push to your backlog tool
Tick the artefact types you want, then export to Jira, Azure DevOps, Linear, GitHub Issues, Notion or ClickUp, or download XLSX, CSV, Word and BPMN files. Multi-type exports count as a single generation.

Pros and cons

Pros

  • Ceremony-specific extraction (26 meeting types) rather than one generic summary formatAI
  • Every artefact carries a source quote and a confidence rating, with low-confidence items flagged before exportAI
  • Native push to six backlog tools with proper field mapping and ADF or markdown formattingAI
  • The free tier ships the whole capability stack, including all artefact types and every exportAI
  • UK and EU GDPR framing, no training on meeting data, and a contractual data processing agreement on EnterpriseAI

Cons

  • Ceremony-aware output only pays off if your team actually runs recognisable agile formats; ad hoc or mixed meetings get less valueAI
  • Per-user Team pricing adds up for large organisations, and pooled bot hours can be consumed unevenly across seatsAI
  • SAML SSO, API access and a signed SLA sit behind Enterprise, so mid-sized buyers wanting SSO must negotiateAI
  • Calendar auto-join is excluded from Pro, the tier most individual buyers will start onAI
  • The bot needs to be dispatched into the call, which can be awkward with external clients or recording-sensitive meetingsAI
