What is Inbox Ledger?

Inbox Ledger is an accounting journal entries tool. AI invoice capture and bank reconciliation tool that reads invoices directly from Gmail, Outlook and IMAP mailboxes, extracts vendor, amount and line item data, detects duplicates, and matches everything against uploaded bank statements before exporting to QuickBooks, Xero or Business Central.

Inbox Ledger is an invoice capture and bank reconciliation tool built around a simple premise: most of the documents an accounting team needs are already sitting in an email inbox. It connects to Gmail, Outlook or any IMAP mailbox in read-only mode, scans for invoices in attachments, inline email bodies, embedded images and download links, then extracts vendor, amount, date, currency and line items. On the first connection it back-scans up to six months of history, and you can trigger deeper scans across the current year, a quarter or a custom range afterwards. Captured invoices flow into a dashboard where they are matched against imported bank statements. The reconciliation layer is what separates it from pure document capture tools. Bank statements can be uploaded in PDF, CSV, XLSX, OFX, MT940 and several other formats, and the system pairs each transaction with an invoice, showing a confidence score with a written reason for the match. Multi-currency pairs are handled, so a EUR charge against a USD invoice is converted at the settlement-date rate and the shortfall explained. Duplicates are caught by fingerprinting every file with SHA-256, which means one receipt arriving as an attachment, a forward and a resync stays a single record. It suits bookkeepers and accounting firms managing several client mailboxes, and small finance teams that want capture and reconciliation in one place rather than a stack of separate tools. Plain-language rules (auto-approve under a threshold, flag large amounts, tag subscriptions) run without code, and documents can be pushed to QuickBooks, Xero or Business Central, or exported to Google Drive, Sheets, OneDrive and webhooks. A Telegram and WhatsApp bot handles receipt photos from a phone. Against Dext, Hubdoc and AutoEntry, the pitch is volume pricing rather than per-document credits, and reconciliation included in the base rather than billed as an add-on. The public API is only planned, so teams needing deep custom pipelines should not count on it yet.

How do you use Inbox Ledger?

  1. 1Run a free inbox audit
Connect a mailbox in read-only mode through Google or Microsoft sign-in. The audit scans twelve months of mail and reports invoices, vendors, recurring charges and duplicates before you commit to a plan.

  2. 2Create your account
Sign up with Google to open a working account. The free tier processes up to ten invoices a month on a fully functional setup, with no card required.

  3. 3Link team mailboxes and back-scan
Add colleagues' mailboxes so invoices captured by other people land in the same dashboard. The first connect pulls in up to six months of history automatically, and you can scan further back by month, quarter or custom range.
  4. 4Configure AI processing rules
Write plain-language rules such as auto-approving amounts under $50, flagging anything over $5,000 or tagging SaaS subscriptions. The rules apply to every invoice as it arrives, with no code involved.

  5. 5Upload a bank statement and reconcile
Import a statement in PDF, CSV, XLSX, OFX or MT940 format. The parser extracts transactions and pairs them with captured invoices, showing a confidence score and a reason for each match so you can review the uncertain ones.

  6. 6Push data to your accounting suite
Route approved documents to QuickBooks, Xero or Business Central, or export to Google Drive, Google Sheets or OneDrive. Firm-level setups can share a single annual invoice pool across client accounts.

Pros and cons

Pros

  • Reconciliation is built in, so invoices are matched to bank transactions with confidence scores and written match reasons rather than just filed awayAI
  • Read-only inbox access plus CASA Tier 2 assessment and EU data residency address the usual objection to mailbox scanningAI
  • SHA-256 fingerprinting stops the same invoice becoming two records when it arrives through several routesAI
  • Volume based pricing covers bank statement extraction and reconciliation, unlike per-document credit modelsAI
  • Unconditional refund with no 30-day cut-off and self-service cancellation lower the commitment riskAI

Cons

  • Public API is only planned with no release date, so custom pipeline work depends on webhooks and spreadsheet exports for nowAI
  • No native mobile app; phone capture runs entirely through Telegram and WhatsApp botsAI
  • Automatic back-scan is capped at six months on first connect, which leaves older invoice history to manual range scansAI
  • Out-of-the-box accounting integrations cover QuickBooks, Xero and Business Central, so users of other suites rely on exportsAI
  • Invoice limits pause new captures until you upgrade or buy credit packs, which can interrupt work at peak periodsAI
