What is Docusplit AI?

Docusplit AI is a file organizer tool. A browser tool that takes one multi-document PDF from a scanner, finds the boundaries between invoices and letters, exports separate files and names each one by type, sender and date. Two modes, ZIP plus CSV output, no installation.

Docusplit AI is a browser tool for the pile of paper that reaches a scanner as one file. Upload a single PDF of mixed invoices, letters and receipts, and the service locates where each document begins and ends, exports the pages as individual PDFs and gives every file a name built from the content of the page. An invoice leaves as INV-2025-0281_Acme-Corp.pdf and a rental agreement as Lease_Northwind-Properties_2025-02-01.pdf, so the output is searchable by sender, type and ISO date instead of scan_001.pdf. The download arrives as a ZIP with a CSV overview and, optionally, folders per month or per sender. Unreadable pages are flagged as Not detected rather than quietly dropped. Two modes set the behaviour. Invoice mode processes pure invoice batches faster, at roughly six seconds per page, and reads invoice number, company and date. Document mode takes mixed mail at about ten seconds per page, first testing each page for an invoice and otherwise assigning a free-form type label (letter, contract, notice, reminder, form, tax document) plus sender and date. Continuation logic keeps multi-page documents in one file by spotting clues such as "Page 2 of 3" or a repeated invoice number, so no separator sheets or barcodes are needed. The obvious audience is bookkeeping and back office work: accounting firms sorting morning mail by client, property managers handling tenant files, and anyone digitizing a year of receipts before a tax return. It fits best as a front step before an archive or accounting package. Adobe Acrobat splits by page count, size or bookmarks without content naming, and rule-based tools like Docparser or Hazel need templates built in advance; Docusplit merges splitting and naming into one upload, but it does not extract data into line items or feed a database. It runs in the browser with nothing to install. Files travel over TLS, are kept only while processing and then deleted, and analysis runs through the OpenAI API under a data processing agreement. Document reading was tested in English, German, French, Spanish, Italian and Dutch; the interface and CSV come in English and German.

How do you use Docusplit AI?

  1. 1Create an account and check your free pages
Sign up with an email address to unlock the 30 trial pages. No card is required at this stage, and the allowance is used once rather than renewed each month.
  2. 2Choose invoice mode or document mode
Pick invoice mode for a pure invoice batch, which runs faster, or document mode for a mixed pile where invoices sit next to letters and receipts. The choice is made before the upload starts.
  3. 3Upload the batch PDF
Drag in or select one PDF up to 50 MB, either scanned or digitally created. There is no page cap per file, so an 87-page scan is fine as long as it fits your page quota.
  4. 4Follow the split and naming
The AI reads each page as an image, decides whether it starts a new document, then builds names from invoice number, type, sender and date. Progress is shown live during processing.
  5. 5Review the ZIP and the CSV
Open the downloaded ZIP and sort by filename to spot anything odd. Cross-check the CSV overview, including the confidence value per document, and look first at entries marked Not detected or sitting in the Unknown folder.
  6. 6File the documents where they belong
Move the renamed PDFs into your accounting package, DMS or archive. The ISO date format and one-document-per-file layout are built to match how QuickBooks, Xero and paperless-ngx expect files.

Pros and cons

Pros

  • Split and file naming happen in the same upload, with no templates or separator sheets to prepareAI
  • Continuation pages are kept with their parent document, so multi-page contracts and leases stay wholeAI
  • Unreadable pages are surfaced as Document_Page_7.pdf and listed as Not detected in the CSV instead of being lostAI
  • ISO dates in filenames and optional folders by month or sender sort cleanly in file systems and archivesAI
  • Files are deleted after processing, and the OpenAI data handling terms are stated explicitlyAI

Cons

  • No correction step inside the tool: a wrong split or name has to be fixed by hand after downloadAI
  • Output pages are copies without an added text layer, so search requires text recognition in your own archiveAI
  • Poor source quality (handwriting, faded thermal receipts, scans under 200 dpi) is the main cause of unlabeled filesAI
  • The 30 free pages are a one-time allowance, so any real evaluation of a mixed scan pile needs a paid planAI
  • Support is email only on Starter and Pro, and the interface and CSV are limited to English and GermanAI
